These Terms and Conditions govern access to and use of the website palermoforexpats.com and all activities, events, and services offered by Associazione Ricreativa Culturale “Expats Living in Palermo” (hereinafter “the Association”).

1. The Association

Associazione Ricreativa Culturale “Expats Living in Palermo” is a non-commercial cultural and recreational association registered in Italy (C.F. 97392810822), headquartered at Piazzale Ungheria 73, 90141 Palermo (PA). All activities and services are reserved exclusively for members of the Association.

2. Membership

2.1 Eligibility
Membership is open to all adults (18+) with an interest in international exchange, multicultural experiences, and community life in Palermo. This includes — but is not limited to — expatriates, digital nomads, Erasmus students, international residents, and locals who share a passion for cross-cultural connection and wish to be part of a diverse, welcoming community.

2.2 Annual Membership Fee
Access to all Association activities requires the payment of an annual membership fee. The current fee amount is published on the website. The membership fee contributes to covering the operational costs of the Association, including event organisation, logistics, venue coordination, communications, platform maintenance, and all other expenses necessary to carry out the Association’s institutional activities and ensure a high-quality experience for its members.

2.3 Admission
Admission to the Association is subject to approval by the governing board in accordance with the Association’s Statute. Payment of the membership fee does not automatically confer membership until approval is confirmed.

2.4 Membership Year
The membership year follows the calendar year, running from 1 January to 31 December. Memberships expire at the end of the calendar year in which they were activated, regardless of the date of admission, unless otherwise specified by the governing board.

2.5 Non-Transferability
Membership is personal and non-transferable.

3. Events and Activities

3.1 Members Only
All events, day trips, dinners, workshops, and other activities organised by the Association are reserved exclusively for current members in good standing (membership fee paid and up to date).

3.2 Event Tickets (Corrispettivi Specifici)
Payments made for specific events (dinners, trips, parties, etc.) are corrispettivi specifici paid by members to the Association for institutional activities, consistent with the non-commercial nature of the Association pursuant to D.P.R. 917/1986.

3.3 Ticket Prices
Event prices include all costs associated with the activity as described in the event listing. No hidden fees will be applied.

3.4 Booking Confirmation
A booking is confirmed upon receipt of full payment. Confirmation will be sent to the email address provided at registration.

4. Cancellation and Refund Policy

4.1 Cancellations by the Member
Event tickets are non-refundable once purchased. However, a confirmed ticket may be transferred to another current Association member by notifying info(at)palermoforexpats.com at least 48 hours before the event start time.

4.2 Cancellations by the Association
If the Association cancels an event for any reason, all ticket holders will receive a full refund within 7 business days to the original payment method.

4.3 Postponement
If an event is postponed, tickets remain valid for the rescheduled date. Members who cannot attend the new date may request a full refund within 5 days of the postponement announcement.

4.4 Force Majeure
The Association accepts no liability for cancellation due to circumstances beyond its reasonable control, including natural disasters, government restrictions, or public health emergencies. In such cases, a credit or refund will be offered at the Association’s discretion.

5. Member Conduct

Members are expected to behave respectfully towards other members, Association staff, event venues, and third parties at all times. The Association reserves the right to expel a member and refuse future participation without refund in the event of misconduct, violation of these Terms, or behaviour contrary to the Association’s values and Statute.

6. Photos, Videos & Media Consent

6.1 Event Documentation
The Association may photograph and/or film events for institutional purposes, including promotion of Association activities on its website, social media channels, newsletters, and other official communications.

6.2 Implicit Consent
By registering for and attending an Association event, members acknowledge that photos and videos may be taken during the event and grant the Association a non-exclusive, royalty-free licence to use such images and recordings for the purposes described in clause 6.1. This consent applies for the duration of membership and beyond, unless explicitly revoked.

6.4 Member-Generated Content
Members who share photos or videos from Association events on social media are encouraged to do so in a respectful manner. The Association may repost or share member-generated content with appropriate credit. Members may request removal of their content shared by the Association by contacting info@palermoforexpats.com.

6.5 Third-Party Platforms
Media published on third-party platforms (e.g., Instagram, Facebook) is subject to the respective platform’s terms of service. The processing of personal data through such media is governed by our Privacy Policy.

7. Intellectual Property

All content on this website (text, images, logos, event descriptions) is owned by the Association or used with authorisation. Members may not reproduce or distribute content without prior written consent.

8. Limitation of Liability

The Association organises activities in good faith for the benefit of its members. To the fullest extent permitted by Italian law, the Association shall not be liable for any indirect, incidental, or consequential damages arising from participation in Association activities. Members participate at their own risk. The Association is not responsible for loss or theft of personal property during events.

9. Data Sharing

Your personal data is not sold to third parties. We may share data with the following categories of recipients:

  • Payment processors (e.g., Stripe) solely for the purpose of processing ticket and membership fee payments.
  • Email service providers for sending event confirmations and newsletters.
  • Website hosting provider (DreamHost, LLC, USA — covered by standard contractual clauses).
  • Analytics providers (Google Analytics / Google Tag Manager) — with your consent.
  • CookieYes (cookie consent management).
  • Italian public authorities when required by law.

All third-party processors operate under Data Processing Agreements (DPA) in accordance with Art. 28 GDPR.

10. Privacy

The collection and processing of personal data is governed by our Privacy Policy, available at: palermoforexpats.com/privacy-policy

11. Amendments

The Association reserves the right to amend these Terms and Conditions at any time. Members will be notified of material changes by email. Continued participation in Association activities constitutes acceptance of updated Terms.

12. Governing Law

These Terms and Conditions are governed by Italian law. Any dispute shall be subject to the exclusive jurisdiction of the Court of Palermo (Tribunale di Palermo).
